Preparing Job Market Mailings

Contents of the mailing

What You Send

The advertisements in the JOE inform you of what each institution requires:

always:
cover letter
vitae
usually:
job market paper
other papers
sometimes:
transcript
teaching evaluations
research and teaching objectives or interests
It is worth the time to make sure you have included all the requested material. Otherwise, the processing of your application will be slowed down as they request the missing information.

Jean has postcards to include that potential employers could use to let you know that they received your packet. However, most institutions send affirmative action forms for you to complete that indicate that they received your packet.

These should be mailed in 9x12 envelopes with your own return address.

Jean Sends

3 or 4 letters of recommendation under separate cover. These letters are written by your committee or other faculty who can speak to your qualities. The letters are given directly to Jean. You provide her with stamped addressed business envelopes with the Placement Office as the return address (Jean has these mailing labels).

The following is based upon submitting 100 applications.

Office Supplies

Office Depot or Office Max are good choices to minimize costs (the UW Bookstore is not!)

Copies

(approximately $150 for 50 page paper)
Vitae - single sided
Paper - from single sided to double sided
Teaching evaluations (originals available from Jean)-from single sided to double sided

Office Max had the lowest prices (about $.04/page for back to back copies). Their hours are 8AM to 9PM and the copying takes a few hours, depending on how busy the store is. Ask them to clean the glass on the copier before making your copies and do a spot check on your copies before you leave the store- copying is not their main business so the are not always extra-careful.

Mailing

Envelopes you send
about $1.40/envelope for usual packet with cover letter, vitae and paper

Kinkos meters mail for a minimal charge (at most $.03/envelope). The Post Office does not meter large volumes of mail, they will sell you stamps, if you happen to like the taste!

Letters of recommendation
Buy stamps from the post office (self adhesive are nice!)
$.32/envelope for ¾5 pages and an additional $.23 if your letters are >5 pages

Transcripts

Transcripts are available from Window 60 at the Peterson Building. They can be sent interoffice mail in about 2 days.

Mail Merging

Create all mailing labels and cover letters using mail merge packages.
